How to win chargebacks when customers claim they never got the package
You pack a $400 order. You print the label. You drop it at the post office. Tracking shows delivered three days later. Two weeks after that, you get an email: chargeback filed for item not received. The customer says the package never showed up. Stripe sides with them. You lose the product, the shipping cost, and the $400.
This is the loop that bleeds margin from Shopify and Stripe sellers who fulfill their own orders. You ship in good faith. The customer files a dispute. You scramble to find proof. By the time you gather tracking screenshots and email threads, the dispute window closed. Pro Logica builds chargeback prevention and evidence systems that capture proof automatically and respond to disputes in minutes instead of hours.
When you call or text, mention shopify chargebacks so we know which problem to solve.
The actual operating failure
The problem is not that you do not ship the orders. The problem is that when a chargeback hits, you have to manually reconstruct proof of delivery from scattered sources. You dig through Shopify for the order details. You log into your shipping carrier to find the tracking number. You screenshot the tracking page showing delivered. You search your email for any customer communication. You paste it all into a document and submit it to Stripe or Shopify Payments.
This process takes 30 to 90 minutes per dispute. And it only works if you have all the pieces. If the carrier shows delivered but you do not have a signature or delivery photo, Stripe often sides with the customer anyway. Tracking alone is not enough proof. The customer says the package was stolen off the porch or delivered to the wrong address. The card network rules in their favor.
Meanwhile, you are packing the next batch of orders. The chargeback email sits in your inbox. By the time you respond, 24 or 48 hours passed. Sometimes the deadline is 7 days. Sometimes it is 48 hours. You lose track. You miss the window. You automatically lose the dispute and the money.
How the fix actually works
Pro Logica builds a system that captures evidence automatically as orders ship, stores it tied to each order, and generates dispute responses in minutes when chargebacks hit. You spend less time fighting disputes and win more of the ones you fight.
Automated evidence capture at ship time
When you print a shipping label through Shopify or ShipStation, the system logs the tracking number, shipping method, carrier, destination address, and package weight. It stores this with the order record. When the carrier updates tracking to delivered, the system captures the delivery timestamp and location. You do not manually log anything. It happens automatically.
Delivery photo and signature capture
For high-value orders, you can require signature on delivery or use a carrier that provides delivery photos. The system pulls these from the carrier API and stores them with the order. When a chargeback hits, you have photo proof that the package was delivered to the address the customer provided.
One-click dispute response generation
When a chargeback notification comes in from Stripe or Shopify, the system matches it to the order, pulls all the stored evidence, and generates a dispute response document. You review it, add any manual notes if needed, and submit. The whole process takes five minutes instead of an hour.
Customer communication logs
Every email or message you exchange with the customer gets logged with the order. If they confirm they received the package, or if they ask a question about using the product after delivery, that communication becomes evidence. When they file a chargeback weeks later claiming they never got it, you have proof they were using it.
A chargeback scenario: before and after
Before: The scramble for evidence
Monday: You ship a $350 order. You print the label through Shopify. USPS picks it up. Tracking updates to in transit.
Thursday: Tracking shows delivered. The customer does not reach out. You assume everything is fine.
Two weeks later: You get an email from Stripe: chargeback filed for item not received. Reason code is fraudulent transaction. You have 7 days to respond.
Same day, afternoon: You are packing orders when you see the email. You stop, open Shopify, find the order, copy the tracking number, go to USPS tracking, screenshot the delivered status, search your email for any messages from the customer, find nothing, and start writing a response document.
90 minutes later: You submit the response with tracking screenshots and order details. You wait. A week later, Stripe rules in favor of the customer because tracking alone is not sufficient proof. You lose the $350, the product, and the shipping cost.
Result: You lost time gathering evidence and still lost the dispute because the evidence was not strong enough.
After: Automated evidence and fast response
Monday: You ship a $350 order. When you print the label through Shopify, the system logs the tracking number, destination address, package weight, and carrier. You pack the box and drop it at the post office.
Thursday: USPS delivers the package. The system polls the tracking API, sees delivered status, and captures the delivery timestamp and GPS coordinates. The delivery photo from USPS is automatically pulled and stored with the order.
Two weeks later: You get a chargeback notification from Stripe. You open the system, search for the order number, and click generate dispute response. The system assembles a PDF with the order details, tracking history, delivery photo, delivery timestamp, and GPS coordinates showing the package was delivered to the customer's address.
Five minutes later: You review the PDF, add a note that the delivery photo shows the package on the porch at the address provided, and submit the response to Stripe.
One week later: Stripe rules in your favor. The photo proof and GPS coordinates were enough to show the package was delivered. You keep the $350.
Result: You responded in minutes with strong evidence and won the dispute.
Why Shopify and Stripe built-in tools fail at this
You might be thinking: Shopify and Stripe both have chargeback management features. Why would I need something custom?
Shopify Payments chargeback tools
Shopify gives you a form to respond to chargebacks. But they do not automatically gather evidence for you. You still have to manually find the tracking number, screenshot the tracking page, copy customer emails, and paste everything into the form. The form helps you organize the response, but it does not save you time collecting the evidence. And Shopify does not store delivery photos or signatures automatically. You have to get those from the carrier yourself.
Stripe Radar for fraud prevention
Stripe Radar helps block fraudulent transactions before they happen. But it does not help you win chargebacks after the order ships. Once the package is delivered and the chargeback is filed, Radar is not relevant. You still need to provide evidence. Radar does not capture delivery photos or automate dispute responses.
The custom approach
Pro Logica builds a system that integrates with your Shopify store, your shipping carrier APIs, and your payment processor. It captures evidence automatically at ship time and delivery time. It stores everything in one place tied to each order. When a chargeback hits, you generate a complete evidence package in minutes. You are not manually gathering proof from five different places.
How we actually build it
Pro Logica is a custom engineering firm, not a Shopify app. We build the system for your store. Here is what that looks like.
Fulfillment process mapping
We start by walking through your current fulfillment workflow. How do you print shipping labels? Which carriers do you use? Do you use ShipStation or print directly through Shopify? Do you take photos of packages before shipping? Which orders are high-value enough to require signatures? We map this out so the system fits your process.
System build and integrations
We integrate with Shopify, your shipping carriers (USPS, FedEx, UPS), and your payment processor (Stripe or Shopify Payments). We build the evidence capture engine that logs tracking data, pulls delivery photos, and stores customer communications. We build the dispute response generator. This typically takes 5 to 8 weeks.
Testing and rollout
We deploy the system and connect it to your live store. You start fulfilling orders as usual. The system captures evidence in the background. When the first chargeback hits, you use the system to generate a response. We watch how it performs and adjust as needed.
Ongoing operation and dispute tracking
Once live, the system runs automatically. You ship orders. Evidence gets captured. When chargebacks hit, you respond fast. We handle hosting and uptime. We also track your win rate on disputes and help you identify patterns. Maybe certain products get more chargebacks. Maybe certain states have higher fraud. We surface those trends so you can adjust.
Questions we hear from Shopify sellers
What does this cost?
Cost depends on which carriers you use, how many orders you ship, and which existing tools need to connect. We quote after mapping your actual fulfillment workflow, not from a menu. Hosting and support are scoped with the build. Call or text 949-205-7333 or use the contact page to start that conversation.
Will this actually help me win more disputes?
It depends on the strength of the evidence. If you ship without signature confirmation or delivery photos and the carrier only provides basic tracking, you still might lose disputes where the customer claims the package was stolen. But if you use carriers that provide delivery photos and GPS coordinates, and you respond quickly with complete evidence packages, your outcomes improve. The difference is having photo proof the package was delivered to the address versus just tracking that says delivered with no proof of location.
Can this prevent chargebacks before they happen?
Not entirely. Some chargebacks are true fraud where stolen cards are used. Some are friendly fraud where customers claim they never got the package even though they did. The system cannot prevent fraud from happening. But it makes it harder for friendly fraud to succeed because you have strong proof. Over time, customers who file false claims and lose disputes stop trying.
How long does it take to go live?
From kickoff to live capture, you are looking at 6 to 10 weeks. Week one is fulfillment process mapping. Weeks two through six are build and integration work. Week seven is testing with real orders. By week eight or nine, the system is live and capturing evidence automatically.
What if we add a new shipping carrier or change fulfillment workflows?
Adding a new carrier requires integrating with their API to pull tracking and delivery data. We handle that as a follow-on project. Changing workflows might require adjustments to how evidence is captured, but the core system stays the same. Most changes are small updates, not full rebuilds.
